AI Workspace Terms of Service

Version 2026-10-16

1. Who we are

AI Workspace is a service of Network Integration Specialists ("NIS", "we"). These terms are between NIS and the organization that signs up ("your organization", "you"). The person who signs up agrees to them for the organization and confirms that they may do so.

2. What the service is

AI Workspace is a private AI chat for your organization. Your members sign in with their Microsoft 365 or Google Workspace work account. They chat with AI models that NIS has approved and that your administrator has turned on.

  • Each message passes your organization's privacy rules before a model receives it. The rules can replace or block sensitive values.
  • Each request goes through an AI gateway that belongs to your organization alone.
  • NIS chooses which AI model providers the service can use. Your administrator chooses which of those models your members may use.

3. Your account

  • Only an organization on Microsoft 365 or Google Workspace can sign up. Your organization can have one workspace.
  • The person who signs up becomes the first administrator. An administrator can make other members administrators.
  • You keep your administrators' contact details current. You tell NIS at once if you think someone used your workspace without permission.
  • You are responsible for what your members do in your workspace.

4. Billing

  • Seats. Each member is one seat. The first seat is the person who signs up. Each person you invite adds a seat. The seat count follows your members automatically.
  • Renewal. Seats renew on the 1st of each month. The first charge covers the rest of the current month, prorated, and your starting credit.
  • Credit. AI use is paid from prepaid credit. You can add credit at any time, and you can turn on automatic top-up. Unused credit carries over from month to month. Credit is not refunded.
  • Payment. Stripe processes card payments. Your card is saved with Stripe so that renewals and top-ups can be charged. NIS does not see or store your card number.
  • Prices. NIS can change the seat price or the usage rates. A price change starts from the next renewal, and NIS tells your administrators first.
  • Taxes. Prices do not include taxes unless your invoice shows them.
  • Failed payment. If a payment fails, NIS can pause AI use until it is paid.

5. Acceptable use

You and your members must not use AI Workspace to:

  • break a law, or help someone else break one;
  • harm, harass, threaten or deceive people;
  • make malware, attack a system, or get into a system without permission;
  • make content that sexually exploits children, or that a model provider forbids;
  • send another person's personal data without a lawful reason;
  • try to get around the privacy rules, the budget limits or the gateway;
  • resell the service, or share accounts between people.

Each model provider has its own usage policy. Those policies also apply.

6. Your content

  • Your content stays yours. NIS uses it only to run the service for you.
  • NIS staff cannot read your conversations in the normal running of the service. Your own administrators and content auditors can, as your settings allow.
  • AI answers can be wrong. Check an answer before you rely on it, most of all for legal, medical, financial or safety decisions.

7. Service changes and availability

  • NIS works to keep the service available, but does not promise that it is always available or free of errors.
  • NIS can add, change or remove models and features. When NIS removes a model that your organization uses, your administrators are told.

8. Ending the service

  • Your administrator can cancel at any time. The service then runs to the end of the paid month.
  • NIS can suspend or close a workspace that breaks these terms or does not pay. Where the law and the situation allow, NIS tells you first.
  • When a workspace closes, its content is deleted as the Privacy Policy describes.

9. Limits

  • To the extent the law allows, NIS provides the service "as is". NIS is not liable for indirect or consequential loss.
  • To the extent the law allows, NIS's total liability is limited to what your organization paid in the 12 months before the claim.

10. Changes to these terms

NIS can change these terms. The version date is at the top. A new version applies to new sign-ups at once. NIS tells existing customers before a change applies to them.
